The short version
- FlowGap is designed to never collect patient or client information in the first place — the assessment only asks about how your practice operates.
- We never sell your data, to anyone, for any reason.
- We don't share your data with third parties for their own marketing or business purposes.
- ExpertFocus LLC staff don't access your individual assessment data except when needed to provide support you've requested, maintain security, or comply with the law.
What we collect
When you create an account: your email address. When you complete the assessment: your answers to guided questions about your practice's operations (for example, scheduling patterns, benchmark metrics, and your practice profile). When you purchase the full report: your payment is handled directly by Stripe — we receive confirmation of payment, not your card number.
We do not ask for, and you should never enter, information that identifies your patients or clients — including in free-text fields. See our Terms of Service.
How we use it
We use your assessment answers for one purpose: to score your practice and generate your report. We use your email to manage your account, deliver your report, and send you service-related messages (like a reminder if you leave an assessment unfinished). We do not use your data to train AI models, and we do not use it for advertising.
Who processes it on our behalf
Running FlowGap requires a small number of service providers, each of whom processes your data only as needed to provide their part of the Service, under their own confidentiality and security obligations — never to use it for their own purposes:
- Anthropic (Claude API) — receives your assessment scores and answers to generate your report's narrative and recommendations.
- Supabase — hosts our database and authentication.
- Stripe — processes payment for the full report; receives your email and payment details directly.
- Resend — delivers account and report emails.
We do not share your data with anyone else, and none of these providers are permitted to use your data for their own marketing or product-training purposes under our agreements with them.
Security
Your data is stored with access controls that restrict it to your own account, and payment information never touches our servers directly. No system is perfectly secure, but we take reasonable technical and organizational measures to protect your information.
Your rights
You can request a copy of your data or ask us to delete your account and its data at any time — email us and we'll act on it promptly. Deleting your account removes your assessment answers, scores, and report from our systems, except where we're required to retain payment records for accounting or legal purposes.
Children's privacy
FlowGap is a business tool for licensed practice owners and operators. It is not directed at, and we do not knowingly collect information from, children.
Changes to this policy
If we make a material change to how we handle your data, we'll update this page and, where appropriate, notify you directly.
